ARCSITE SUBSCRIPTION MANAGEMENT

Cancellation Notice.

By submitting a cancellation request, you are giving notice that your Arcsite subscription will not renew. Your access will remain active until the end of your current subscription period. At the end of that subscription term, the following will apply.

1. Platform access will end

All access to the Arcsite platform will be suspended immediately upon expiry of your current subscription term, including access to:

  • dashboards and building overview screens
  • maintenance plans and schedules
  • defect registers and project records
  • compliance registers and inspection tracking
  • QR code tools and resident request systems
  • reports, documents, manuals, warranties and historical records

All Users linked to the building will lose login access at that time.


2. Maintenance, compliance and inspection workflows will cease

At the end of your subscription term:

  • all automated reminders, alerts, inspection tracking and maintenance workflows will stop
  • Arcsite will no longer record, prompt, monitor or track compliance activities
  • no ongoing compliance or maintenance records will be generated or maintained

Arcsite does not replace statutory or fiduciary obligations. Upon termination, all responsibility for compliance, maintenance planning, inspections, record-keeping and risk management rests solely with the Owners Corporation and its authorised representatives.


3. QR codes will be deactivated and must be removed

At the end of your subscription term:

  • Arcsite may deactivate or restrict access to all QR codes associated with your building
  • you are responsible for removing all Arcsite QR code plates from common property within 30 days

Failure to remove QR plates within this timeframe may result in additional fees and Arcsite may pursue legal remedies to enforce compliance.


4. Data archiving and retrieval timeframes apply

From the end of your subscription term:

  • your building data will be archived for 90 days post-termination
  • you will have 30 days of supervised access from termination to retrieve your data

After 90 days, all data may be permanently deleted and may not be recoverable.

Arcsite is not responsible for any loss arising from failure to export or retain records within these timeframes.


5. Loss of lifecycle continuity for the building

Arcsite logins and records are tied to the building across its lifecycle. By cancelling:

  • future committees, managers or stakeholders will not inherit historical maintenance records, defect history, decisions, inspection logs or compliance evidence stored in Arcsite
  • continuity of building data across management transitions will be lost

6. No refunds apply for cancellation or lapse

If you cancel your subscription or allow it to lapse:

  • no refunds are payable for any unused portion of the current subscription term
  • this applies to voluntary cancellation and non-payment, except where required by law

7. Reactivation is not guaranteed and fees apply

If you seek to reactivate Arcsite:

  • reactivation within 90 days of termination may be permitted only after full payment of all outstanding invoices
  • a reactivation fee equal to 30% of the original onboarding invoice will apply
  • after 90 days, restoration of data may not be possible

Arcsite is under no obligation to restore access or recover archived or deleted data.


8. Liability and compliance responsibility remain with the Owners Corporation

Following termination:

  • Arcsite accepts no liability for missed inspections, non-compliance, safety risks, financial loss, regulatory breaches or governance failures
  • all legal, statutory and fiduciary obligations remain entirely with the Owners Corporation and its agents
  • Arcsite is not responsible for any reliance placed on historical data after access has ceased

9. Intellectual property restrictions continue

Cancellation does not grant any right to copy, reproduce, distribute or reuse Arcsite systems, reports, templates, designs or platform materials. Unauthorised use of Arcsite intellectual property after termination may result in legal action.

Acknowledgement of terms:

By electing not to renew your Arcsite subscription, you acknowledge and agree that:

  • Formal notifications will be issued to all connected and relevant parties associated with the building, including (without limitation) Executive Committee members, building managers, and linked contractors, advising that the Arcsite platform will no longer be maintained for the building.

  • All building data must be extracted by your Building Management Team within 30 days from the effective date of termination. Continued access to the Arcsite platform will not be available after this period.

  • Arcsite Pty Limited will securely archive all building data for 90 days following termination. After this archive period, all data may be permanently deleted, unless a written request for an extension is submitted and approved in advance.

Failure to extract data within the applicable timeframes may result in the permanent loss of historical maintenance, compliance, inspection, and asset records.

To avoid disruption, data loss, and loss of continuity across building stakeholders, we strongly recommend maintaining uninterrupted access to Arcsite’s centralised building data and compliance management system.
